Thank you for taking on the role of Network Facilitator of one of our Far North Queensland Early Childhood Community Networks (ECCN). We value your contribution and look forward to working alongside of you as we support and promote our local early childhood community.
The documents within this handbook have been designed to assist you with facilitating your ECCN. If there is anything else you would like developed or shared, that may assist you to manager your ECCN, please let us know. We are here to assist you to make your job easier.

01 FAQ ABOUT ECCNs and YOUR ROLE AS FACILITATOR
Useful for inducting new facilitators and a point of reference for all facilitators.
02 ECCN PROMOTION FLYER
After your information has been added, this flyer may be shared with your members. It summarises meeting dates and venues for the year.
03 (a) AGENDA Inaugural meeting and (b) AGENDA General Meeting (c) MINUTES TEMPLATE
An agenda assists meetings to stay on track and focused. It includes a list of the ECCN goals and provides a framework for meeting minutes or notes, for easy distributed after the meeting. The minutes template aligns with the data fields on the online data collection portal. Both forms are designed within tables, this enables them to be cut and pasted easily into the body of an email.
04 MEMBERSHIP FORM
We encourage members to complete the online membership form, however, printable forms may be completed and handed directly to the network facilitator to upload onto the website.
Facilitators may request an excel copy of the membership database from the website facilitator by emailing Irene.goodrich@qed.qld.gov.au
05 MEETING EXPECTATIONS (a) meeting norms of collaboration (b) guiding our greatness – meeting guidelines
Meeting norms/guidelines, support behaviours that increase learning and productivity and help guide interactions with all ECCN members. We suggest developing your own norms/guidelines as a collective, however, to get you started, we have supplied you with ‘The Norms of Collaboration’, developed by Adaptive Schools. https://www.thinkingcollaborative.com/aboutas, as well as ‘Guiding our Greatness – Meeting Guidelines’, an adaptation from ‘The Circle Way Pocket Guide 1994’ – C Baldwin and a Linnea. You may also have additional norms/guidelines that are specific to your community. If so, feel free to add them to this list.
It is important to unpack these norms/guidelines with new members and refer to them at the start of each meeting. They are also included within the PowerPoint meeting template.
We also have a poster that reminds us that, (c) the child is a the centre of all our conversations.
06 MEETING CHECKLIST
This checklist will assist you to prepare for network meetings. Add anything else you need.
07 MEETING REMINDER (a) in-depth (b) brief
This eye-catching template can be used to remind members of upcoming meetings.
Fill details directly into the template. Use the snipping tool to take a screenshot an add to your email or cut and paste directly into the email to your members.

08 SIGN IN SHEET
Collecting attendance data is important. Information on this form will be added to our “Network Data Collection” login. This data will later be used to scan for attendance numbers and attendance trends. A scanned copy of the sign in sheet may be uploaded to your facilitator’s online meeting data collection for future reference.
09 WELCOME DESK PLACE CARD
These ‘Welcome Desk’ items help to streamline the arrival of the members, reminding them to sign in, collect meeting handouts and provide meeting feedback.
10 PURPOSE POSTERS (a) display posters (b) use posters (c) collated example
Purpose posters list the overall purpose of the ECCNs. They may be displayed and used to ensure meeting content remains within the groups ‘circle of influence’. If conversations begin to go off track, into our ‘circle of concern’ the purpose is used to help guide members back to the original purpose of the ECCN meetings. The posters may also be used to help establish goals.

11 POWERPOINT MEETING TEMPLATE
This presentation may be used as a basic template for meetings. It includes: Introduction, Acknowledgement of Country, ECCN Purpose, ECCN Goals, Meeting Norms, Agenda, Feedback and blank slides. The idea is to hide the slides you don’t wish to use.

12 GOAL SETTING GUIDE (a) Goal summary (b) Setting goals PowerPoint
A simple guide to assist the setting of achievable goals and activities. Once these goals have been decided upon, consider displaying them at each meeting to provide members with the ECCN focus. Email a copy to the website administrator for upload onto your website.
13 PRESENTER TIPS
We encourage a very collaborative approach to sharing during network meetings.
The “Tips for Presenter” document may be used to inform external presenters of the type of presentation style that suits our ECCN members.
14 FEEDBACK FORM (a) one per page (b) two per page
“We all need people who will give us feedback. That is how we improve.” Bill Gates.
You have two options for receiving feedback:
- Online; http://www.fnecn.org/meeting-feedback.html, for individuals to complete independently
- Paper-based; Please allow time at the end of the meeting for participants to complete the five quick and easy questions on the feedback form. Once completed, they will need to be upload individually online. (This may be the role of the facilitator or could become a specific role of another team member)
We (Regional Office) will collate the feedback and return it to you as an excel spreadsheet for further reflection.
15 SUMMARY OF MEETINGS
The meeting data you collected throughout the year may be displayed within this Summary of Meetings template and shared with your members. It can be used to present the year at a glance, celebrate your achievements and/or plan for the future. (with permission Cairns South ECCN)
16 CERTIFICATE OF APPRECIATION
This certificate can be used for your guest speakers and presenters in appreciation of their time and expertise.
17 CERTIFICATE OF PARTICIPATION
Available on request. Members may include attendance at meetings as part of their CPD (Continuing Professional Development) hours or as evidence of quality improvement for services operating under the National Quality Framework.
